Homeowner Account Management

  • Maintain a detailed file for each lot or home within the community.
  • Update ownership records promptly following the completion of home sales.
  • Provide assessment statements to homeowners according to the governing documents and board instructions.
  • Supply requested property information to title companies, realtors, and mortgage lenders to assist with home sales or refinancing.
  • Prepare and distribute detailed year-to-date owner ledgers annually.
  • Provide all required financial information and documentation to the association’s auditor during the annual audit process.
  • Maintain organized vendor files, including up-to-date W-9 forms and tax identification numbers.
  • Prepare and issue checks for approved invoices on a regular basis.
  • Make Federal Tax Deposits, if applicable, in accordance with IRS requirements.
  • Ensure all checks are reviewed and signed by an authorized officer of SBB Management Company.
  • Produce annual payables reports for board review and recordkeeping.
  • Prepare monthly delinquency reports for the Board of Directors prior to or during regular meetings.
  • Assess and apply late fees, interest, legal fees, fines, and repair or replacement charges to owner accounts as necessary.
  • Send certified collection letters to owners with outstanding balances in compliance with state law.
  • Advise the Board of Directors on establishing a collection policy and coordinate with association legal counsel for policy preparation and review.
  • Facilitate all waiver requests, settlement agreements, or short sales for Board approval.
  • Continue collection procedures with the association attorney or authorized collection agency, as directed by the Board or collection policy.
  • Utilize our in-house Payment Solutions Initiative to streamline collections and reduce administrative costs.
